
Ministry Center Guidelines
Organizations may request the use of the Church or Ministry Center or a portion thereof as designated on the application form. All organizations will request the usage using the request form. The Otterbein Church office staff will process the application form and upon approval of the request will schedule the activity.
Scheduling of events will be based on the availability of the facility requested. The requesting organization is responsible to begin activities promptly and vacate the facility at the designated time.
Unscheduled (walk-in) use of the Multi-Purpose Room (Ministry Center) by regular attenders of the Otterbein Church is permissible as the schedule allows and between the hours of 7:30 a.m. and 9 p.m. (scheduled events will take priority). Persons will be required to fill out a Building Clean-up Check List following every unscheduled use. Regular attenders of Otterbein Church who are 18 years or older may be issued a key to the Multi-Purpose Room for unscheduled use. This privilege may be revoked if policies are not followed or if the person no longer attends regularly.
A "responsible person" of the church must be present during any use of the Church or Ministry Center. This responsibility may be assigned to an agent of the organization renting the facility.
The organization using the Church or Ministry Center is responsible for any damage that may occur during the rented period of time and for replacing articles that may be missing.
The organization using the Church or Ministry Center is responsible for leaving the area clean and neat. Any clean-up or rearranging of the area may result in additional fees.
Verification of liability insurance is required for use by outside organizations.
Otterbein Church will not be responsible for any injuries or accidents incurred on the premises.
All accidents must be reported within 24 hours in writing to the Otterbein Church office.
All trash and consumables shall be removed from the premises and deposited in the dumpster immediately following the use of the facilities.
The renter will be responsible for providing equipment and consumable supplies for their activities and events. Basketballs and volleyballs are available for rental.
A Building Clean-Up Checklist will be required to be completed by the responsible person in charge.
Scenery and decorations may not be attached to the floors or walls by means of screws, nails, etc.; masking tape (not scotch tape) is permitted. All scenery and decorations must be approved prior to the event and removed from the building immediately after use is completed.
Otterbein Church reserves the right to terminate use of the facilities or make adjustments if, in our opinion, provisions of the guidelines have been violated.
PLEASE NOTE: All fees are to be paid prior to the day services are provided unless prearranged. Checks may be made payable to Otterbein Church & Ministry Center. Fees may be waived or lowered for special hardship situations and organizations. Request for this must be done by letter and attached with the "Facilities Request."
A non-refundable deposit of $25 is required upon reservation for all Class III and IV uses. Groups desiring to use the Church of Ministry Center shall be divided into classes.
Class I Rentals
No charge except for hired personnel time.
- Otterebein Church activities
- Waynesboro Senior Center (beyond contract becomes a Class II)
- Groups sponsored by Otterbein Church (i.e. Boy Scouts)
NOTE: The following fees are designed to cover the cost of the operation of the areas used. There is no two-hour minimum required for the use of the multi-purpose room. This classification does not include custodial fees and any person using the facility in this class must clean up. Any activity requiring custodial services becomes a Class III use.
Class II Rentals
Persons/Families who regularly attend Otterbein Church and desire the use of the Church or Ministry Center for special personal or family occasions (i.e. baby showers, bridal showers, birthday parties, anniversary parties, family reunions)
- Classroom (Church & Ministry Center)—$7.50 per hour
- Ministry Center Small Banquet Room, Board Room and Church Fellowship Room—$10 per hour
- Ministry Center Multi-Purpose Room—$40 for two hours ($15 per each additional hour)
- Kitchen (Church & Ministry Center)—$7.50 per hour
Class III Rentals
Non-profit organizations that are compatible to the Otterbein Church and Ministry Center philosophy and not charging an admission fee (i.e. churches, parachurch organizations) and persons who are not regular attendees of Otterbein Church who wish to use the Church or Ministry Center for personal or family use (i.e. baby showers, bridal showers, birthday parties, anniversary parties, family reunions). NOTE: This category is limited to a 2-hour minimum when scheduled.
- Classroom (Church & Ministry Center)—$20 for 2 hours ($10 per each additional hour)
- Ministry Center Small banquet Room, Board Room and Church Fellowship Room—$30 for 2 hours ($15 per each additional hour)
- Ministry Center Multi-Purpose Room—$50 for 2 hours ($20 per each additional hour)
- Kitchen (Church & Ministry Center)—$20 for 2 hours ($10 per each additional hour)
The above fees cover regular custodial fees, electricity and HV/AC. Additional fees will be assessed per the request.
Additional Fees
Set-up and tear-down for:
- 1–99 people—$40
- 100–175 people—$50
- 175+ people—$75
Sound System Operator: $20 per hour
Light Operator: $20 per hour
Additional Equipment:
- Basketball—$5 per hour
- Volleyball Net and Ball—$15 per hour
Weddings
The following fees are established for wedding receptions at the Otterbein Ministry Center. Set-up and tear-down are the responsibility of the wedding party. A non-refundable deposit of $50 is required when reserving the Ministry Center for wedding receptions.
There are no RENTAL fees for use of the Church Sanctuary or Ministry Center for weddings performed by Otterbein Church staff and for members or people regularly attending Otterbein Church for a period of at least 6 months.
Janitor Fees (Church Sanctuary):
- 1–99 people—$30
- 100–500 people—$50 (add $15 if bird seed, rice or confetti is used)
Janitor Fees (Ministry Center):
- 1–99 people—$40
- 100–175 people—$60
- 175–300 people—$75
- 300–500 people—$100
Fees for weddings performed by the Otterbein Church staff for those who are not members or people regularly attendning Otterbein Church:
No rental fees for use of the Church Sanctuary
Janitor Fees (Church Sanctuary):
- 1–99 people—$30
- 100–500 people—$50 (add $15 if bird seed, rice or confetti is used)
Flat rental fees for use of the Ministry Center:
- Multi-purpose Gym—$75
- Small Banquet Room—$50
- Kitchen—$25 (if meal is cooked in kitchen)

Fees for weddings not performed by Otterbein Church staff:
The church sanctuary is not available for weddings not performed by Otterbein Church staff
